Set up Teams
Set up your organization's teams within Blissfully

How can teams help me?

Blissfully's Teams feature allows you to help coordinate by grouping people & apps together, allowing you to:
  • Segment spend
  • Segment people
  • Understand Compliance through Access Matrices
  • Define onboarding & offboarding strategies
  • Distribute Workflow tasks
  • Divide & conquer SaaS management

What teams represent

Typically, teams represent departments within a company, like Engineering and Sales. We recommend having a top-level team called All Employees that contains teams corresponding to departments.
You may also wish to group contractors separately from employees. Consider making a top-level team called All Contractors that contains teams corresponding to contracting organizations.
Additionally, teams can represent locations. If you have multiple locations, we recommend having a top-level team called All Locations that contain teams corresponding to locations.

Create Teams

There are two ways to create teams in Blissfully: automatically syncing and manually creating.

Blissfully can sync your teams from G Suite Organizational Units (OUs), Google Groups, BambooHR department, or Okta Groups. Syncing keeps teams and their members in Blissfully up-to-date with the source.
To sync teams from these sources, head to Integrations and click on the relevant integration. (For OUs and Google Groups, click G Suite Automation.) Head to the Team Sync tab, then check the box to enable team sync.
By default, Blissfully will sync in all your teams. However, you can unselect teams on the integrations' Team Sync tab if you do not want certain teams to sync with Blissfully.
Note: Turning off the sync, do not automatically archive or remove the teams from Blissfully. Please archive them manually or reach out to [email protected] to process a bulk archive.

If your source of truth for teams is another tool that supports CSV export, like a payroll system or a spreadsheet, you can then upload that CSV into Blissfully.
Use the "Upload from CSV" button on the Teams page to upload your CSV.

You can manually create a team by hitting New in the top-right of the Teams page.
Once the team exists, you can bulk add people to the team by uploading a CSV of people to the team. Within the team detail view, head to the Members tab then hit the "Bulk import" button:

Edit Teams

Note: editing or archiving a team in Blissfully synced from Google OUs or Okta Teams will not affect the team in Google or Okta.
To edit a team and complete its setup with the steps below, select the team from the Teams page, then use the menu in the top-right corner to edit info.
Selecting a parent team

Assign a Team Lead

Assigning a team lead for every team makes divvying up work easier down the road when you get to workflows and tasks. We recommend assigning every team a team lead.
To add a team lead, edit the team as shown above and add the team lead to the Team Lead box.

Arrange into Hierarchy

In Blissfully, teams can belong to other teams. For example, Backend might belong to Engineering.
Child teams will inherit apps from their parent teams. Continuing the example above, if Clubhouse is assigned to Engineering, then members of Backend will also be assigned Clubhouse.
To make a team a child of another team, edit the child team. In the Parent Team box, select the parent team of your choice.

Archive Teams

If you chose to sync, you likely have teams that won't be useful to you in Blissfully. For example, if you synced your teams from Google Groups, you might have a "team" from [email protected] that you'll want to archive.
To archive a team, find the same menu shown above for editing, but instead of selecting "Edit info", hit "Archive team".

Assign Apps

Finally, for each team, assign the relevant apps.
For Sales, this might include tools such as Salesforce, Hubspot, etc. Support might be Zendesk, Intercom, etc. For All Employees, we recommend adding the org-wide tools your colleagues use. Typically this includes apps like GSuite, Okta, Notion, Zoom, etc.
Location-based teams may even get assigned apps. For example, you may use different payroll tools for employees in different countries.
If an app doesn't fit neatly with any one team, you may wish to create an app-specific team, like Salesforce Admins. However, we advise assigning apps to department- or location-specific teams whenever possible.
You can add an app to a team in the team detail view. The Apps tab should already be selected. Just hit "+ App" on the right side.
When you place an app into a team, you can decide if the app is required or optional. This choice influences whether Blissfully should expect team members to have access to this tool (and help close any gaps) or that the tool is optional, and it's OK if Blissfully sees usage, but shouldn't worry about folks who aren't using the application.
